About this template
A Word form for recording, pricing and authorising a change to the scope of a ship newbuilding contract. It is meant for yard contract managers and owner's project teams who want every variation recorded in the same format, with its price and time effect stated before work proceeds.
What's inside: a header block for VO number, revision, issue date and status (agreed, disputed or under evaluation), and contract details: vessel, hull number, contract reference, the contract clause the change is raised under, and whether the buyer, builder or class and regulatory requirements originated it. Seven numbered sections follow: description of the variation, reason for it, effect on contract price, effect on delivery date, effect on other contractual guarantees such as speed, fuel consumption, deadweight and cubic capacity, an attachments checklist (cost calculation, time impact analysis, drawings, quotations), and authorisation with signature blocks for builder and buyer plus an optional class acknowledgement. The authorisation text covers the disputed case: the technical change goes ahead while the commercial terms stay subject to the contract's dispute resolution clause.
How to use it: raise the form as soon as a change is identified and give it a sequential VO number. Describe the technical scope precisely enough that both sides would price the same work. Attach the cost build-up and the time impact analysis rather than stating a lump sum without support. Log every issued form in a VO register.
Limits: the form does not replace the change procedure written in your contract; follow its notice periods and approval rules. Pricing is done in the companion Cost Impact Calculation Sheet.
